Technical Information

We use information to create and manage user accounts, administer memberships, process competition entries, manage leagues and team competitions, schedule matches and events, publish competition draws and schedules, record and publish results, process bookings, communicate with participants, process payments, provide customer support, improve our services, maintain platform security and meet legal and regulatory requirements.
Sport Manager is designed to administer sporting competitions and leagues. To operate competitions effectively, certain information may be displayed publicly, including player names, club affiliations, competition entries, draws, match schedules, court allocations, results, league tables, rankings and competition statistics. Such publication forms part of the legitimate operation of sporting competitions and leagues.
During the active period of an event, organiser contact information may be displayed to participants and, where configured, on public event pages to support event administration.
Competition organisers determine which information is made publicly available through their events and competitions.
Sport Manager is frequently used to administer junior sporting activities. Where children participate in competitions, memberships or leagues, information may be supplied by parents, guardians, clubs or governing bodies. Parents or guardians may manage accounts on behalf of children. Competition organisers may collect information required for eligibility, safeguarding or competition administration. Additional information may be collected where required by governing bodies or event organisers.
We take appropriate measures to protect children's personal information and limit access to authorised individuals.
Sport Manager may provide access to Squash Score, a match scoring and results recording application. When using Squash Score, we may process player names, match details, court information, scores, match outcomes and timing information. Information entered into Squash Score may be synchronised with Sport Manager and published as part of competition administration.
Sport Manager may facilitate payments for competition entries, membership subscriptions, club fees and other sporting services. Payments may be processed through third-party payment providers including Stripe and GoCardless. Payment providers process payment information in accordance with their own privacy policies and regulatory requirements. Sport Manager does not store full payment card details.
We may send communications relating to account administration, membership renewals, competition entries, match schedules, competition updates, payment confirmations, system notifications and customer support. Communications may be sent by email, SMS or other electronic means where appropriate.
Sports Organisations
Information may be shared with clubs, counties, regional associations, governing bodies, competition organisers and league administrators where required for the administration of sporting activities.
Service Providers
We may share information with trusted service providers that assist us in operating the platform, including cloud hosting providers, payment providers, email delivery providers and monitoring and security providers.
Rankings and Competition Systems
Where configured by organisers, results and competition information may be shared with recognised ranking and competition systems, including SquashLevels and other approved sporting systems.

We may disclose information where required by law, by court order, to prevent fraud, or to protect rights, safety or property.
Some service providers used by Sport Manager may process information outside the United Kingdom. Where this occurs, we take reasonable steps to ensure appropriate safeguards are in place in accordance with applicable data protection laws.

Historical competition information, including event details, draws, schedules, results and rankings, may be retained indefinitely to preserve sporting records and competition history.

Personal contact information published for the administration of an event, including organiser contact details, may be removed from public access once it is no longer necessary for the administration of that event.
We take reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse, disclosure, alteration and destruction. Measures may include encrypted communications, access controls, audit logging, authentication systems, secure cloud infrastructure and regular monitoring. No internet-based service can guarantee absolute security.
